
PAT Testing Asset Labels and Your Compliance
A green sticker on a kettle is not, by itself, evidence of electrical safety. For a duty-holder, PAT testing asset labels are most valuable when they connect the appliance in front of you to a clear inspection record, test result and practical action history. That traceability matters when a member of staff reports a fault, an insurer asks for evidence, or an appliance needs to be removed from service before it causes an electric shock or fire.
The label is one visible part of a wider control system. It helps staff identify equipment that has been checked, but the underlying asset record, certificate and inspection findings are what demonstrate a managed approach to electrical safety.
What PAT Testing Asset Labels Should Show
A useful asset label gives each appliance a unique identity. The same item number should appear on the formal report and in the asset register, so there is no uncertainty about which microwave, extension lead or laptop charger was inspected. This is particularly helpful in busy offices, schools, workshops and managed properties where many similar appliances are in use.
Most labels should clearly show the asset number, the test outcome, the date of inspection and testing, and the recommended next test date or review date. Depending on the system used, they may also identify the test engineer or company and include a barcode or QR code for faster asset lookup. The information needs to be legible, durable and positioned where it can be seen without covering the manufacturer’s rating plate, safety warnings, ventilation openings or controls.
A failed item should be marked clearly and taken out of use. A “DO NOT USE” label is not a repair: it is an immediate control to prevent someone plugging the appliance back in before the defect has been corrected and the item has been retested. Where practical, the plug should also be removed or the item isolated from normal access.
The next test date on a pass label should not be treated as a legal expiry date. There is no single statutory PAT testing interval that applies to every appliance and workplace. The appropriate frequency depends on the equipment, its environment, how it is used, its class, and its history of faults or damage. A low-risk double-insulated desk lamp in a well-managed office does not face the same exposure as a regularly moved extension lead in a workshop or a hairdryer in holiday accommodation.
Why a Sticker Alone Is Not Enough
Sticker-only testing can create false reassurance. An appliance may carry a pass label while its asset details are incomplete, its location is unknown, or a visible defect was missed because the inspection was rushed. It may also be a product affected by a manufacturer recall, a counterfeit or lookalike item, or one identified as unsafe through an authoritative consumer safety warning.
A proper inspection considers the appliance as it is actually being used. That includes damaged plugs, taped cables, cracked cases, loose sockets, overloaded adaptors, heat damage, unsuitable extension leads and chargers that become excessively hot. Electrical test readings are valuable, but they do not replace careful visual examination or sensible judgement about the surrounding risk.
For example, a four-way adaptor may produce acceptable electrical readings yet still present a fire risk if it is overloaded with high-current equipment or used in a daisy chain. Likewise, a laptop power supply may pass a basic test but need further attention if the cable is strained, the casing is splitting, or it is known to overheat in normal use. The asset label identifies the item; the inspection record explains the condition and any action required.

Labelling Appliances in Real Working Environments
The best labelling approach is orderly but proportionate. A small office may only need a clear asset number and annual or risk-based testing schedule. A larger site, care setting or education provider may need asset labels that also support room-by-room inventories, department ownership and equipment movement between locations.
Shared, moved and hired equipment
Portable equipment is often the hardest to control because it moves. Extension leads, projectors, power tools, cleaning machines and IT chargers may travel between rooms, vehicles or sites. Their labels need to remain attached and readable, while the asset register should show the current or usual location and responsible department where possible.
If equipment is hired, borrowed or brought in by staff, it should not disappear from the safety process simply because it is not owned by the business. The duty-holder still needs to consider whether it is suitable and safe for use on the premises. A temporary asset entry, visual inspection and suitable testing arrangements may be appropriate, particularly for higher-risk equipment.
Appliances without an obvious place for a label
Some items are too small, too hot, too textured or too exposed to cleaning products for a conventional adhesive label. In these cases, the asset identifier may be recorded against a durable cable marker, a nearby equipment tag or a clearly documented location reference. The method must still allow the exact item to be matched to its record.
Fixed equipment requires careful classification. Not everything with a plug is best managed in the same way, and not every electrical item should receive a standard PAT label. Equipment connected to the fixed installation, hard-wired appliances and specialist machinery may need inspection or testing under other maintenance arrangements. A competent engineer should determine the appropriate approach rather than applying labels indiscriminately.
Building an Asset Register That Helps You Act
A label works properly when it leads to information that is useful on the day a problem arises. Your asset register should record more than a pass or fail result. It should identify the item type, make and model where relevant, serial number if available, location, electrical class, inspection date, test outcome and any observations or remedial action.
This creates an audit trail. If a charger is withdrawn because of overheating, you can show when it was found, who was notified, whether it was replaced and whether the replacement was added to the register. If a recalled appliance is identified, the record helps establish where it is located and whether it has been removed from use.
For duty-holders, this is also a practical management tool. It reduces time spent searching for appliances before a scheduled visit and avoids repeat testing of items that have already been disposed of. It can highlight patterns too: repeated damage to leads in one area may indicate poor storage, unsuitable equipment, or a need for staff instruction rather than simply another replacement lead.
Keeping Labels Accurate Between Test Visits
Asset labels are only reliable if workplace changes are reported. When new equipment arrives, it should be added to the register before use where the risk assessment indicates testing is required. When an appliance is disposed of, sold, transferred or replaced, its record should be updated so the register does not become cluttered with missing items.
Staff also need a simple route for reporting damage. User checks are not a substitute for formal inspection and testing, but they are an essential first line of defence. Staff should know to stop using equipment with frayed cables, broken plugs, scorch marks, loose parts, exposed conductors, unusual smells or excessive heat. A pass label must never override what someone can plainly see or smell.
Consider placing asset labels where they are visible during normal use, then supporting this with a short staff briefing. People do not need to become electricians. They do need to understand that labels identify checked equipment, defects must be reported promptly, and unsafe items must not be put back into service because work is busy.
The Evidence That Stands Up to Scrutiny
If an incident, inspection or insurance query occurs, a label provides a useful starting point but rarely the whole answer. The stronger evidence is a combination of risk-based testing arrangements, competent inspection, detailed reports, certificates, an up-to-date asset register and records showing that failures were dealt with.
That approach is fairer to staff, visitors and guests than a quick sticker exercise. It also gives the person responsible for the premises a clearer view of what they own, what condition it is in and where attention is needed next. Keep the labels clear, keep the records current, and treat every reported defect as an opportunity to prevent the next incident.
